Project Eagle is an early childhood program focused on preparing children, engaging families, and promoting excellence for children and families in Kansas City, Kansas. Project Eagle provides home-based and center-based services to pregnant women and/or children ages birth to five through a variety of programs, the largest being Early Head Start. Project Eagle is also a member of the Educare Learning Network, part of a national initiative that serves as a platform for broader change, inspiring high-quality programs in communities, improving public policies within each state, and demonstrating a comprehensive approach to the first five years of life and learning. The Bilingual Administrative Assistant performs a wide variety of administrative duties to support the Project Eagle Early Head Start program.
Job Description:
Sign On Incentive ($500 at hire and $500 after 6 months of employment)
Act as receptionist for Project Eagle. Answer the telephone professionally and correctly transfers calls to the appropriate extension. Greet staff, Project Eagle families, and community members cordially and connect them with the correct staff member.
Handle all Spanish-speaking phone calls and program inquiries. Assists Spanish-speaking parents and visitors by interpreting conversations if necessary. Provide translation for parent notices, signs, etc.
Provide administrative support to all Project Eagle staff members.
Provide classroom support through printing, laminating, copying and covering for breaks.
Maintain check in/out system for equipment stored in the front office. Ensure equipment is fully charged and ready for use.
Organize meeting space for Policy Council, Parent Committee and other Project Eagle meetings as needed.
Print timesheets for staff and maintain the timesheet notebook at the front desk.
Responsible for preparing labels and mailing notices and other correspondence as needed.
Monitor staff safety according to established procedures. Respond to emergency situations and crisis phone calls quickly and sensibly, alerting police and the crisis team as appropriate.
Enhance office efficiency by maintaining a clean and neat office environment including supply areas and storerooms.
Order office supplies.
Responsible for receiving incoming orders and shipments and arranging in storage rooms.
Assist Administrative Staff with filing and data entry as needed.
Performs other duties as assigned.
** Required Qualifications **
Bilingual English/Spanish.
Graduation from high school or equivalent; and three years of increasingly responsible office administrative, specialized administrative support or secretarial experience; or an equivalent combination of training and experience.
Duties require professional verbal and written communication skills including correct usage, including spelling, grammar and punctuation, as well as basic reading, writing, and arithmetic skills.
Proficiency in basic word processing, spreadsheet and database programs.
Knowledge of general office machines and telephone system.
Ability and willingness to work cooperatively with others.
Preferred Qualifications
Experience working for a non-profit organization.
